Setup Guide

Connect Airbnb, Booking.com and VRBO in under 5 minutes.

Setting up is completely free — Airbnb, Booking.com, and VRBO charge no platform fees for this. The basic version of GuestWeave is also a free service for hosts. Once configured, the sync runs automatically. The traffic-light indicator always lets you know whether all platforms are in sync — a complete worry-free package for being present on all three platforms.
⚠️ Important: Configure all platforms so that bookings are not automatically accepted — each request should be manually approved by the host. When a new request arrives, simply log in to GuestWeave and verify there are no conflicts with existing bookings. You can then accept the request on the respective platform.

Step 1 — Create listings on booking platforms

Create your listing on the platforms you want to use and set your prices and availability directly there:

Step 2 — Connect calendars on GuestWeave

Go to Calendars and add each platform. Follow the steps below to link them:

Airbnb＋
  1. Host mode → Calendar → Availability settings
  2. Scroll to the bottom: "Connect calendars" → "Connect to another website"
  3. Copy the iCal URL shown in Step 1
  4. On GuestWeave under Calendars → Add calendar: select Airbnb, paste the URL → save
  5. Copy the Outbound URL shown by GuestWeave
  6. Back on Airbnb: paste that URL under "Link to another website"
  7. Enter guestweave as the calendar name → Done ✓
Booking.com＋
  1. Log in to admin.booking.com → Rates & Availability → Calendar
  2. Edit calendar settings → Calendar connection
  3. Add calendar connection → Skip to export
  4. Name the connection "guestweave" → Copy the link
  5. On GuestWeave under Calendars → Add calendar: select Booking.com, paste the link → save
  6. Copy the Outbound URL shown by GuestWeave
  7. Back on Booking.com (where you were before) → Complete setup
  8. Paste the GuestWeave URL → name the calendar "guestweave" → Done ✓
VRBO＋
  1. Log in → Owner area → Calendar → Availability (right side)
  2. Scroll to the bottom: Calendar sync
  3. Link your calendars → Add
  4. Click "Copy link" and paste into GuestWeave under Calendars → Add calendar → save
  5. Copy the Outbound URL shown by GuestWeave
  6. Back on VRBO: paste the URL under "Calendar link" → name the calendar "guestweave" → Done ✓

How does calendar sync work?

GuestWeave syncs bookings in both directions: a booking on Airbnb automatically blocks the same dates on Booking.com and VRBO — and vice versa. GuestWeave fetches the latest booking data from all platforms every 30 minutes, fully automatically. You can always check the exact status on the Calendar page. The platforms fetch data from GuestWeave independently — GuestWeave cannot control when they do this. Platforms typically pick up reservations within one to two hours, which is also visible on the Calendar page. When all platforms are up to date, you will see three green indicators above the reservation list and can safely accept any incoming booking. If any indicators are still yellow, wait before confirming until all turn green. If you need things to move faster, you can log in to the platforms and manually trigger a calendar refresh where you set up the calendar connections — the corresponding indicator will turn green immediately. But don't worry, this is rarely necessary, as yellow indicators only occur when two new bookings arrive in quick succession on different platforms.

⚠️ Watch the indicator: before accepting new bookings, wait until the status dot for each calendar turns green — only then is the sync complete and all platforms are up to date.
